Start

Use ZPORTAL to simultaneously cross-search multiple resources. ZPORTAL is powered by Z39.50, an international search standard. Whether you're looking for information in a website, another library catalog, a full-text database, or a professor's clipping file, ZPORTAL is a single easy-to-use interface that connects you to the information you need.

Do a search now, or sign in to access more options.

Sign in to access the full range of options available to you. For example:

  • Get It - Digital delivery of e-content (TOC, Abstracts, Full-text, etc.) to your desktop
  • Requests - create and track requests for items that aren't available electronically
  • Search Profiles - create and save your own list of favorite resources

If you do not have a username and password, you can still access ZPORTAL without logging in. Many of ZPORTAL's services may still be available to you. If you log in to ZPORTAL remember to SIGN OUT. If you access ZPORTAL anonymously remember to use Restart.

Standard Search

Enter a keyword search. To search for a phrase, use quotation marks, for example, sunlight soap will return results containing both the word, sunlight and soap. If you enter quotes e.g. "sunlight soap" this returns records containing that exact phrase.

What is the Current Search Profile?

A Search Profile is a group of Collections. Collections are resources such as databases, websites, and catalogs, etc. To see what is in the Current Search Profile, click on Collections.

If you've logged in, you can click the drop-down list to select a different Search Profile that will search a different set of Collections. You can also create and save your own Search Profiles, selecting your own combination of Collections. Your own Search Profiles are available every time you log in to ZPORTAL.

If you haven't logged in, and are not at a recognized IP address, only the default Search Profile will be available to you.

What are Collections?

Collections are the resources you can search through ZPORTAL, such as databases, websites, and catalogs. In the list of Collections you can select or de-select those to be searched.

Click the information icon to show the Collection details in a popup window. In here if there is a Collection URL enabled you can Click to search the database using its own native interface e.g. EBSCO. A new window opens while you still keep your ZPORTAL session.

What is Advanced Search?

If you want to search on something besides a keyword, Advanced Search gives you more options. You can search on up to 3 fields (such as author, title, subject, etc.). Plus you can combine search terms with Boolean operators (AND, OR, AND NOT).

Advanced Search

Fields

If you want to search on something besides Keyword, Advanced Search lets you choose up to 3 different fields. You may combine fields using Boolean operators (AND, OR, AND NOT). You may also be able to filter (limit) your search results by date.

Why are there so many fields to choose from?

With Refinement set to Off, you have access to all the fields of the Z39.50 Bib-1 Use Attribute Set. There are over 100 Use attributes ranging from the familiar (e.g., keyword, author, title, date, subject) to the obscure (e.g., CODEN, Bliss Classification, and authority/format identifier).

What is Z39.50?

Clicking on PowerSearch opens a Power Search box. What's that?

The Power Search is designed for those who are familiar with the Z39.50 Bib-1 Attribute Set. There are 6 Attributes:

Use

Relation

Position

Structure

Truncation

Completeness

For more information on the Z39.50 Bib-1 Attribute Set, visit the Library of Congress website http://lcweb.loc.gov/z3950/agency/

Narrowing the Search

Various filters can be applied if enabled on your system. You can limit your search results by date, which will display only the items published in a particular year, or range of years. You can also restrict results to items published before a certain year (to box) or after a specific year to the present (from box).

What is the All years radio button for? If you select a date filter (single year or range) and then change your mind, there is no way to 'unselect' the radio button, as there has to always be 1 thing in the group selected. So All Years effectively sets 'don't filter by year at all'.

Search results can also be filtered to include only articles in Peer Reviewed journals. Please note that if you are searching 'mixed-content' databases (for example, databases that include books and technical reports as well as journal articles), filtering to peer reviewed will eliminate all non-journal items from your search results.

You can filter the results by item Format, Language and audience Level. Select one or more filter values from the boxes. ZPORTAL checks the records and filters out those that do not match your chosen format, language or audience level.

What is the Refinement On/Off option?

Refinement On means that the search form allows you to choose from fields supported by the databases you are searching. Fields that are not supported by those databases will not appear in the list of choices. Anything marked with an (*) in the list of choices means that field is supported in ALL databases in the current search profile.

Refinement Off means that you'll see all possible fields, many of which will not apply to the databases you are searching.

Searchable Collections

Collections are the resources you can search through ZPORTAL, such as databases, websites, and catalogs. In the list of Collections you can select or de-select those to be searched.

Click the information icon to show the Collection details in a popup window. In here if there is a Collection URL enabled you can Click to search the database using its own native interface e.g. EBSCO. A new window opens while you still keep your ZPORTAL session.

Search History

Search history is session-specific. Your searches are automatically saved until you log out (or until your session times out after a library-specified inactivity period). You can return to previous searches in an active session and Edit or Re-run them.

Linkbuilder

This section applies to OL2 Users Only

If you already have a list of citations and/or references, LinkBuilder will search them and present either full text articles or an ILL form depending on the available resources.

What are the LinkBuilder search options?

LinkBuilder has 4 ways of searching:

  • Enter a unique identifier for the item: Digital Object Identifier (DOI), Pubmed ID (PMID), or International Standard Serial Number (ISSN). If you enter a DOI or PMID, ZPORTAL finds the corresponding metadata and supplies the full text links. If you enter an ISSN, a further Linkbuilder form is shown, where you can enter additional data about the item.
  • Enter an exact title in the search term box, select the full title option by clicking on that button, then click the GO! button to run the search. You will be presented with a list of exact titles that match your search.
  • Enter keywords from the title in the search term box, select the keywords option by clicking on that button and then click on the GO! button to run the search. You will be presented with a list of titles containing the keywords in your search.
  • Browse by clicking on one of the letters of the alphabet. You will be presented with a list of titles that begin with your chosen letter.

How do I access a full text version of an article using LinkBuilder?

Once you have searched using LinkBuilder and clicked on an individual resource, you will be presented with a LinkBuilder form requesting more information on the article and author details. Fill in and submit the details and you will be taken to a link to the full text of the article when this is available.

What happens if a full text version is not available?

If no full text article is available directly to you, you will see a request form for the journal article. Check the details and send off the request. Your article will be sourced and sent to you via the document delivery service run by your library. Check with them for full details.

Search Results

How are results found?

ZPORTAL uses Z39.50 to send your search to information providers. Z39.50 is an ISO and ANSI/NISO standard that specifies a client/server protocol for searching and retrieving information from remote databases. Information providers that do not support the Z39.50 protocol will be searched via Z2Web, using whatever search protocol is most appropriate.

In what order are results returned?

Results are returned in the order of the fastest Z39.50 server machine. On screen, results will show in the order of the fastest Collection to be returned within the current Search Profile.

How can I sort search results?

Search results can be sorted in two ways:

  • You can click on the name of the information provider whose results you want to see first. For example, if you're searching your own library catalog, Science Direct, and Pub Med and your library's results display first (because that's the fastest server) - but you want to see Pub Med results first - just click on Pub Med. That moves Pub Med results to the top of your result list.
  • You can also click on Sort Options. This allows you to sort by Author, Title, Full-text availability, Relevance, or Date.

How can I narrow my search results?

Search results can be narrowed in two ways:

  • You can re-enter the search, making it more specific by (for example) searching for an exact phrase instead of separate keywords, or searching for more words.
  • Or you can filter your current search results, by clicking on Filter Options. This will allow you to filter the current results by date.

Which results are most relevant?

Depending on how your system is set up, each record in the search results may have its relevancy ranked by a score of 1-5 (5 is most relevant). You can also choose to sort by most relevant by clicking on Sort Options. Relevancy is determined by a number of factors e.g. if all the search terms are matched by a record then it is ranked more relevant than if only a few of your search terms are matched. You can also have some input into how relevancy works by editing your Search Profile.

Search results that were published in peer reviewed journals may be marked with a special icon. Peer reviewed articles may not always be the most relevant for your topic, but they are from high quality sources.

Media icons

Normally the following icons depict the physical format of records in the search results hit list:

journal article large print book book (includes patent, thesis, report etc)
braille all other types of general book/manuscript serial
sheet music map graphic
audio cassette (musical & non musical) CD (musical & non musical) LP (musical & non musical)
DVD movie VHS video video other
computer file, website etc mixed media/ kit / 3D object

What do the other icons mean?

Depending on the way your library has set ZPORTAL up for you, links to electronic content (full-text, abstracts, etc.) may be included on the Search Results page. These links are usually marked with

or

If electronic content is available from several sources, you will see more than one icon.

The Get It! button may also provide links to electronic content, and/or to request the item via interlibrary loan.

What does the Collection link do?

If enabled on your system a Collection link is shown for each record in the search results. This opens a new window that gives you the native search interface for that collection. You can then carry out a search in that interface while still maintaining your ZPORTAL session.

It says I got 300 hits, but only 20 display. Why?

ZPORTAL automatically displays an initial set of hits. After that, you need to tell ZPORTAL you want to see more. Simply click on Get More Hits or Next at the top of your result list to have more results displayed. Displaying results as you ask to see them is a more efficient use of network resources than automatically displaying all hits.

Why don't I get any search results?

There are several reasons why you may occasionally get zero search results:

  • Spelling error in your search term(s)
  • The server you sent the search to is not operational
  • The server you sent the search to is operational, but doesn't support the search you sent (e.g., you sent a Subject search but the server only supports Keyword searches). To avoid this, choose Refinement On when doing Advanced Searches.

Search Status

Search Status tells you the processing status of each Z39.50 target your search was sent to. A Target is the information provider your search was sent to. Each Collection in the Search Profile you are using to search is linked to a Target.

Status

Connecting: The connection to the target is being made. The search is sent once the connection is successful.:

Presenting: The target is still processing your search.

Complete: The target has finished processing your search.

Incomplete: The target was interrupted before your search was completely processed.

Error: The connection to the target was not successful at this time.

Unsupported: The target is operational, but does not support this type of search.

Filter failed: You have applied a pre-search filter and the database you are searching does not have any matching records because of the filter.

Total Hits

The total number of hits found.

Fetched Hits

The number of hits currently displayed. At the beginning of your search, this is the total number of hits automatically displayed in the initial search result set. When you return to Search Results and ask for more hits (by clicking on Next or Get More Hits) this number changes as additional hits are displayed.

Requested Hits

The number of hits you have requested, which may not all be displayed yet.

How can I tell if a server is operational?

Check the Search Status. If the status displays Error, there's probably a connection or technical problem. Some targets will automatically close the connection (i.e. timeout) after a few minutes of inactivity, which may also result in Error. Targets may be periodically brought down for system maintenance, or may be unexpectedly brought down by high system demand. Try your search again later. If you still don't get hits, and the status still displays Error, please contact your library help desk.

How can I tell if I sent an unsupported search?

Check the Search Status. If the status displays Unsupported, you sent a search that isn't supported by the information provider's Z39.50 server. To avoid this, choose Refinement On when doing Advanced Searches. Please report unsupported searches to your library help desk.

Why aren't all searches supported?

Although Z39.50 is an international standard, there is a great deal of variation in how it is implemented. Different information providers may support different versions of the standard. Or they may support some but not all of the possible attributes. For example, they may support Keyword searches, but not Subject searches.

When searching with Z39.50, your search results will vary depending on which attributes you search and whether or not the information provider you're searching supports the same attributes. Please report unsupported searches to your library help desk.

Search Result Details

In the search results click the record title link or the Details icon to view more information. See more bibliographic detail, such as subject headings, summaries, and control numbers (ISBN, ISSN, etc.). You can navigate forwards or backwards in your search results list while maintaining a detailed view using Next Record and Previous Record.

Use Search Results in the menu bar or the Back button to return to your results list. Records whose details you have visited are indicated by a different title color.

Your system may be configured to carry out a one-click search for records by the same Author, Subject, Other Authors etc. Click on e.g. the author name so that ZPORTAL performs another search to find any records by that same author.

Your system may be configured to allow you to place an Inter Library Loan Request. It may also be configured to limit the number of requests you may have, and will give you a message if you have reached the limit.

Get It!

Request (or Get It) gives you access to electronic content (i.e., full text, abstract, etc.). If electronic content is not available, your library may allow you to submit a request for hard copy to interlibrary loan.

Note: Depending on how your library has set ZPORTAL up -

- links to electronic content may be included on the Search Result page, and you might not see a Request or Get It! button

- you may be limited to a certain number of requests and ZPORTAL gives you a message if you have already reached the limit

Sort Options

Search results display in the order returned by the fastest Z39.50 server. You may sort search results by Title, Author, Date, Full-text availability, Relevance or Collection.

Relevance allows you to sort the search results according to the relevance score. Select Relevance and enter the number of records you want to be sorted. For example records that match all of your search terms will be most relevant. You can also rank certain collections in your personal Search Profile with a score of 1-5 depending on how you generally rate the records returned by those databases. The ranking you assign to Collections is factored into the Relevance score.

Advanced Sort allows you to choose ascending or descending order. Up to 1000 search results may be sorted.

Another way to sort search results is to click on the name of the information provider whose results you want to see first. For example, if you're searching your own library catalog, Science Direct, and Pub Med and your library's results display first (because that's the fastest server) - but you want to see Pub Med results first - just click on Pub Med. That moves Pub Med results to the top of your result list.

Filter Options

After running a search and obtaining a results list you can narrow the result set (if enabled on your system).

You can filter your search results by Date, which will display only the items published in a particular year, or range of years. You can also restrict results to items published before a certain year (to box) or after a specific year to the present (from box).

Note: Filtering obtains all the results from the z server and then filters them out before displaying to you.

Merge Duplicates

When searching multiple databases, you may get the same item in your result set multiple times. Merge Duplicates allows you to collapse duplicates into a single search result.

How many duplicates should I merge?

ZPORTAL tells you how many hits have been returned (i.e. displayed) and how many total hits were retrieved. For example: Your search has returned 30 out of 30595 hits. You can merge just the results that have been returned, or if you want ZPORTAL to keep returning hits, you can merge the total number of hits up to a maximum of 1000.

When I merge duplicates, do the duplicate records just disappear?

After you've merged duplicates, your result list shows you which records had duplicates. Clicking on Details allows you to see the duplicates that were merged.

How does ZPORTAL define what a duplicate is?

Generally speaking, records containing the same unique identifiers (such as ISBN, ISSN, LCCN, etc.) are considered duplicates. However, the definition of a duplicate may be determined by your library.

Saved List

Save search results to a list, then email or print your saved records. Each item in your search results displays with a Save icon. Click the Save icon to add a record to the Saved List.

A message confirms that the record was saved and the Save icon no longer appears. This means you cannot accidentally save the same record twice. Your Saved List is session-specific. When you log out (or when your session times out due to inactivity), records are automatically cleared from your list.

To view the items you have saved, click Saved List.

Note: Depending on how your library has set ZPORTAL up, you may also be able to submit requests and link to
full-text from items in the Saved List.

If enabled on your system a Collection link is shown for each record in the saved list. This opens a new window that gives you the native search interface for that collection. You can then carry out a search in that interface while still maintaining your ZPORTAL session.

Saved List Email

In your Saved List click the Email option in the record you want to Email. Alternatively select several items in your Saved List you'd like to email by using the check boxes. Then in the screen header select the Email process. Change the Mail to address and edit the Subject if required. Select the Format (Citation or Details). Click Send.

Saved List Email Results

A message displays to confirm that your list was successfully emailed. If an error occurred and the email was not sent, please contact your library help desk.

Saved List Request Summary

In your Saved List click the Get it option in the record you want to request. Alternatively select several items you'd like to request by using the check boxes. Then in the screen header, select the Get It process. From Request Details click Request via ILL. A Request Item form displays. Bibliographic information defaults into the form. You may include additional information in your request, such as special instructions, need by date, and pickup location.

Click on Submit to send the request to your library's Interlibrary Loan department.

When the request has been successfully sent, a report displays with a system-assigned ID number for tracking purposes. To request more items in your list click Continue.

Saved List Print

In your Saved List click the Print option in the record you want to print. Alternatively select several items by using the check box. Then in the screen header select the Print process. Records are then displayed in a print preview window for confirmation (this defaults to the Citation view). If required the records can be printed in Details format by selecting that option from the Format drop-down list.

To print the records click on the Print button. This will display the usual print dialog for printing options to be selected.

Saved Searches

Save searches and delete, edit, or re-run them later. Saved Searches are associated with your login, so they are available to you every time you log in. Other ZPORTAL web users do not have access to your Saved Searches.

What you're saving is the search strategy along with the Search Profiles and Collections used. You are not saving actual search results. When you re-run saved searches, you will retrieve new items that may have been added since your last search. (See Saved List for information on saving search results).

To save a search, perform a search and click Save Search at the top of the Search Results screen. To access your list of saved searches, click on Saved Searches in the My Account menu.

If you edit a saved search, your edits aren't automatically saved. Click on Save Search after running an edited search if you want to save the edited search.

Create Request

If you don't find what you're looking for, you may submit a request to your library's Interlibrary Loan department. A blank request form displays when you click Create Request. The fields displayed in the form may change depending on the Format of item you choose to request, e.g. DVD rather than Book Printed. Fill in as much information as you can.

Tip: you can change the Amount willing to pay field to a value of your own, e.g. '5.50'. If the system works out the costs to be greater than the value in this field, then an error message will appear when you submit the request.

On completion click Submit.

When the request has been successfully sent, a report displays with a ZPORTAL-assigned ID number for tracking purposes. You may track requests using My Requests.

Note: Depending on how your library has set ZPORTAL up -

- you may not be able to Create Requests or view My Requests

- you may be limited to a certain number of requests and ZPORTAL gives you a message if you have already reached the limit

Request Submit Report

When a request has been successfully sent, a report displays with a ZPORTAL-assigned ID number for tracking purposes. You may track requests using My Requests.

My Requests

View and track the status of your Interlibrary Loan requests. You may sort requests by the ZPORTAL-assigned ID number, author, title, or need by date. You may also specify how many requests to display per page.

Note: Depending on how your library has set ZPORTAL up -
 - you may not be able to view My Requests
 - My Requests may also display the number of requests you currently have and how many you are allowed

This may be made available to certain authorized users. If available it allows you to create a 'portlet' that can be inserted into other web applications. This permits you to search ZPORTAL from within the other web application.

When you click the Build Search Box button it guides you through the steps in creating the portlet:

  • deciding how the portlet will be labelled
  • selecting one or more search profile(s)
  • testing the portlet

As the final step in building the portlet, ZPORTAL will display the HTML code for insertion into the other application.

The HTML code begins with:

<!-- Begin ZPORTAL Search Portlet -->

and ends with:

<!-- End ZPORTAL Search Portlet -->

Copy the entire block of HTML using your usual select and copy facility and insert it into the destination application. Copy the code all the way up to and including 'End ZPORTAL Search Portlet'.

What is Z39.50?

Z39.50 is an international industry standard that specifies a client/server protocol for searching and retrieving information from remote databases. It refers to the International Standard, ISO 23950: "Information Retrieval (Z39.50): Application Service Definition and Protocol Specification", and to ANSI/NISO Z39.50. The Library of Congress is the Maintenance Agency and Registration Authority for both standards, which are technically identical (with minor editorial differences). For more information on Z39.50, visit the Library of Congress website http://lcweb.loc.gov/z3950/agency/

Although Z39.50 is an international industry standard, there is a great deal of variation in how it is implemented.

Restart

The Restart option is available to all anonymous and default users who do not identify themselves by logging in to ZPORTAL. It is the same as when a logged in user signs out or when the session times out.

It closes your session in ZPORTAL and removes all session data. Use this when you have finished using ZPORTAL to ensure user privacy. This returns ZPORTAL to the starting point which is the Standard Search screen.

Timeout

Your ZPORTAL session may timeout after a library-specified period of inactivity, meaning that you will automatically be logged out. Click on Sign In to log back in.
